This Privacy Policy explains how Holistico Inc. ("Holistico," "we," "us") collects, uses, shares, and protects personal information when you visit holistico.ca (the "Site"), join our email list, buy from us, or work with us as a client.

We follow Alberta's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's privacy law, Canada's Anti-Spam Legislation (CASL), and other privacy laws that apply to the people we serve.

1. Who we are and who to contact

Holistico is a holistic nutrition practice based in Calgary, Alberta, owned by Holistico Inc.

Our Privacy Officer is Katie McKersie. For any privacy question, request, or complaint, email katie@holistico.ca with "Privacy" in the subject line. We aim to respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner of Alberta, or the Office of the Privacy Commissioner of Canada.

2. Information we collect

Information you give us. When you contact us, join our email list, download a free resource, book a call, or buy something, we collect your name, email, phone number, mailing address, and the details of your request or order. Payment card details go directly to our payment processor; we never see or store your full card number.

Health information (clients only). If you become a client, we collect health information so we can provide nutrition services. This can include your health history, symptoms, goals, diet, medications and supplements, intake forms, and functional lab results. We collect it only with your express consent, during intake.

Information collected automatically. When you browse the Site, our website host and analytics tools collect technical information such as your IP address, approximate location, device and browser type, pages viewed, and the page that sent you here.

Information from advertising tools (only if you opt in). If you accept advertising cookies, the Meta Pixel (Facebook and Instagram) records actions such as pages viewed and links or buttons clicked, and connects them to an identifier for your browser or Meta account. See Section 5.

We do not knowingly collect personal information from anyone under 18.

3. How we use your information

We use personal information to:

Provide services you request, process orders, and deliver resources
Run client programs, including reviewing lab results and building your protocol
Reply to questions and give customer support
Send emails you have agreed to receive
Understand how the Site is used and improve it
Show our ads to people likely to be interested and measure whether those ads work (only with cookie consent)
Meet legal, tax, and accounting obligations

Health information is used only to provide your care, unless a client gives written permission to share their story (see Section 4). We never send client health information to advertising platforms for tracking or targeting, and we never sell it.

4. Testimonials, photos, and client stories

With a client's written permission, we may share their testimonial, review, before-and-after photos, audio or video recordings, or story about their results on the Site, in emails, on social media, or in ads. We only use what the client has agreed to share, in the places they have agreed to, and we can use first name only, initials, or no name if they prefer.

Clients can withdraw permission at any time by emailing katie@holistico.ca. We will then remove the material from the Site and our own channels within a reasonable time, though we cannot recall copies already shared or saved by others.

Shared results reflect individual experiences and are not a guarantee of what anyone else will experience.

5. Cookies, pixels, and advertising

Cookies are small files stored in your browser. Pixels and tags are small pieces of code that send information to the company that provides them. We use three types:

Essential: runs the Site (security, forms, cart, checkout). Provider: Wix. Always on.
Analytics: counts visits and shows which pages are useful. Provider: Google Analytics. Off until you opt in.
Advertising: shows our ads to Site visitors and similar people on Facebook and Instagram, and measures results. Provider: Meta Pixel. Off until you opt in.

Your consent comes first. When you first visit, our cookie banner asks for your choice. Analytics and advertising tools do not run until you accept them. You can change your choice any time through the "Cookie settings" link at the bottom of every page.

What Meta receives. If you opt in, Meta may receive your IP address, browser identifiers, the pages you viewed, and actions such as starting a booking or signing up. Meta may match this with its own records about you and use it under its own privacy policy. We do not send Meta your name, email, or any health information from client services.

Pages we never track for ads. We do not place advertising tools on client intake forms, client portal pages, booking confirmation pages for health services, or lab pages.

More control. You can also block cookies in your browser settings, adjust ad preferences in your Facebook and Instagram settings, or use industry opt-out tools such as the Digital Advertising Alliance of Canada's AdChoices page. We honour Global Privacy Control signals as an opt-out of advertising tools.

6. Who we share information with

We do not sell your personal information. We share it only with service providers who help us run the business, and only what they need:

Website hosting (runs the Site): Wix
Client management (intake forms, records, booking, client portal): Practice Better
Laboratories (processing functional lab tests you order): DHA Laboratories, Evexia Diagnostics
Email (newsletters and messages you signed up for): Wix
Payments (processing payments securely): Stripe
Analytics and advertising (only with your consent): Meta (advertising), Google Analytics (site measurement)

We require service providers to protect your information and use it only for the services they provide to us. Meta is the exception noted in Section 5: it may also use data under its own policy, which is why advertising tools need your opt-in.

We may also disclose information if required by law, to protect our rights or someone's safety, or as part of a sale or reorganization of the business (with confidentiality protections in place).

Storage outside Canada. Some providers store data in the United States or other countries. Information stored there is subject to those countries' laws and may be accessed by their courts or authorities.

7. Email marketing

We send marketing emails only to people who sign up for them, for example by ticking a box or submitting a form that clearly says you are joining our newsletter. Every email has an unsubscribe link, and we process unsubscribes within 10 business days. Unsubscribing from marketing does not stop messages about orders or client services.

8. Your rights and choices

You can ask us to:

Tell you what personal information we hold about you and how it is used
Correct information that is wrong or incomplete
Delete your information, where we are not legally required to keep it
Withdraw your consent to analytics, advertising, emails, testimonials, or other uses

Email katie@holistico.ca to make a request. We may need to confirm your identity first. If you live in the European Union, the United Kingdom, or a US state with a privacy law, you may have additional rights, such as data portability or opting out of targeted advertising, and we will honour them.

9. How long we keep information

We keep personal information only as long as we need it for the purposes above or as the law requires. Client records, including health information, are kept for 10 years after your last session, in line with professional and legal record-keeping requirements, then securely deleted. Email subscriber information is kept until you unsubscribe or become inactive.

10. How we protect information

We use reasonable safeguards, including encrypted connections (SSL), secure platforms for client records, password protection, and limiting access to people who need it. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify you and the appropriate privacy commissioner as the law requires.

11. Third-party and affiliate links

The Site links to other websites, social media platforms, and products. Some of these are affiliate links: if you click one and make a purchase, we may earn a commission at no extra cost to you. We only recommend products we use or believe in.

When you click an affiliate link, the merchant or affiliate network may set cookies or use tracking on its own site so it can credit the sale to us. We do not receive your name, payment details, or what you bought beyond what the network reports for commission purposes, which is usually only that a sale was made. Each merchant's privacy practices are its own, so please review its policy.

Client booking and portal (Practice Better). When you book a session, complete intake forms, or log in to your client portal, you leave holistico.ca and use Practice Better, the secure platform we use to manage client care. The information you enter there, including health information, is collected and stored by Practice Better on our behalf, used only to provide your services, and protected under our agreement with them. Practice Better's own privacy policy also applies to your use of its platform.

12. Changes to this policy

We may update this policy as our practices or the law change. The date at the top shows the latest version. If we make a significant change to how we use your information, we will post a notice on the Site and, where required, ask for your consent again.
